Mô tả công việc

- Personal Assistant

• Reports directly to and communicates with the General Manager on all administrative matters

• Maintains the utmost confidentiality and discretion when handling business affairs

• Cooperates, coordinates and communicates with Department Heads and other inter-departmental secretaries as appropriate

• Supervises the work of the Executive Office staff (Secretaries, Receptionists, Messengers, Drivers)

• Day-to-day secretarial work includes typing, filing, faxes, telephone, etc.

• Distribution of memos, letters and other information etc.

• Arranging internal/external appointments

• Handling reservations as requested

• Translating incoming letters, documents, and  articles by request

• Provides pertinent information on socio-political matters

• Storing and keeping all confidential information

• Preparing monthly operational results for meetings with other hotels

• Taking minutes of Department Heads /Ex.Com meetings as requested

- Quality Control Inspector

• Quality Assessment: Coordinate with department heads to schedule regular evaluations of hotel operations, including guest services, housekeeping, food and beverage, and maintenance, to ensure compliance with quality standards. Analyze audit findings and collaborate with department managers to address deficiencies and implement corrective actions.

• Data Analysis: Analyze guest feedback, survey results, and performance metrics to identify trends and areas for improvement.

• Process Improvement: Develop and implement strategies and best practices to enhance operational efficiency and guest satisfaction.

• Training and Development: Collaborate with department heads to design and deliver training programs to improve staff performance and service quality. Communicate effectively with department heads and staff to clearly understand quality expectations and goals.

• Reporting: Prepare and present regular reports to senior management outlining quality performance, audit results, and improvement initiatives.

• Guest Relations: Engage with guests to gather insights and suggestions for enhancing their experience, addressing any concerns promptly and professionally.

• Cross-Department Collaboration: Work closely with all hotel departments to foster a culture of continuous improvement and quality excellence.

• Proficient in the use of Microsoft Office

• Ability to type 45 WPM

• Good communications and writing skills

• Tasks and Project Management

• Diploma in Business or Secretarial Study

• 3 years of secretarial experience, or an equivalent combination of education and experience
