Reservation Agent /Nhân Viên Đặt Phòng

• Understand hotel P&P, SOP and Accor P&P

• Responsible for taking reservations over the telephone, fax or internet and entering into the PMS timely and accurately

• Responsible to maximize hotel revenue with up-selling of rooms, types and services.

• Responsible for being able to explain hotel services and facilities in a positive manner.

• To be aware of other Accor hotels in Vietnam and assist the guests with information relating to sister properties.

• Ensure knowledge and update of the reservation systems available and are fully conversant with the rates, packages and any special offers available.

• Ensure guest history is updated as much as possible on a daily basis and special needs/information of incoming guests is communicated to the appropriate departments.

• Responsible for following up on all guests requests. Ensure response for all guest’s request within 24 hours of the receipt.

• Ensure to get ETA of VIPs and GIT booking and inform related department

• Be able to provide a courteous, friendly and personalized greeting and farewell in accordance with ‘ResaVision’ program.

• Follow the Accor ‘ResaVision’ program upon receiving reservation, modification or cancellation at all times.

• Optimize occupancy and average room rate in accordance to selling strategy given by RM and/or Rev Max team.

• Follow up the administration of each booking to help the reception team carry out check-in operations effectively

• Working closely with Account Receivable to ensure deposit or payment is followed up and accurately updated in PMS and reports

• Prepares and follow up all arrival information, including 3 day check and same day for non-guaranteed and guaranteed reservations.

• Minimize No-shows by the reconfirmation of arrivals and checking for duplicate reservations

• Work closer with Sales team to follow up GIT bookings, tentative bookings, waiting list, …

• Report immediately to Reservations Manager or RM if any booking released, cancelled or modified which affect much the Occupancy or Revenue Forecasting

• Control hotel availability and allotment to maximize hotel revenue. Report immediately to Reservations Manager or RM if hotel availability status changed for decision to close or reopen selling on TARS (if no interface PMS) and OTAs.

• Assist Sales team to ensure new corporate/travel agencies been input into the T/A master and update rates accordingly.

• Files all contracted room rates according to alphabets of Company names.

• Updates PMS, ASA, Offline websites, TARS with any up-to-date changes

• Update DPF on daily basis in timely manner and upload on Accornet every Fri or Sat.

• Update and inform TA for close of free-sale in timely manner

• Handle and follow up waiting list procedure when hotel fully booked, refer to Reservations Manager or RM to take over booked reservation and handle over booked situation

• Ensure that allotments are processed according to the standards and that any request to increase/top up the allotments are approved by the Res Manager, DOSM or RM

• Be available to assist hotel Management to do reports related to Rooms or Competitors

• In addition, other duties may be required as directed by the Res Manager, RM or GM

• 02 months of probation receive full salary
• 05 working days, 02 days off per week
