GA Specialist 1. Logistic support: • Welcome guests and deal with reception tasks • Support all the administrative procedure related to company’s foreign personnel and guests for during their time working in Vietnam. • Support the organization of workshop/ meetings, logistics and travel arrangement. • Other duties as required by Division Manager and Team Leader Specialist • Handle employee onboarding and offboarding processes, including paperwork and logistics • Collaborate with other departments to support their general affairs needs and initiatives. 2. Vehicle Management: • Directly manage the use of office cars and vehicle logbook (propose vehicle booking, submit to managers, receive results, contact drivers, inform related departments, compile contract when necessary • Manage the rental of office vehicle • Manage the purchase of vehicle related documents 3. Plan and execute company events • Brainstorming and implementing event concepts and themes. • Preparing event budgets and processing invoices. • Researching and booking venues. • Organizing suppliers, caterers, staff, and entertainment. • Coordinating all logistical elements of the event. • Managing set-up, tear-down, and clean-up operations. 4. Oversee and manage all administrative functions: • Supervise and lead a team of administrative staff, providing guidance and support • Manage the company's travel arrangements and accommodations • Edit, compile official letter, document sent to partners; • Maintain electronic and hard copy filing system; • Manage, archive weekly reports • Manage the organization’s seal; 5. Assets and equipment management: • Directly manage and coordinate to maintain office assets and equipment • Collect proposal to buy equipment for office, acquire price quotes and • information of suppliers; • Quarterly update office assets and equipment • Provide office with timely IT supports 6. Manage vendor relationships: • Contract negotiation and management • Performance monitoring and evaluation • Effective communication with vendors 7. Develop and implement policies and procedures to ensure smooth operations and compliance with legal and regulatory requirements related to general affairs
Administrator • As an office receptionist, welcome guests and vendors. • Managing incoming & outgoing correspondences. • Booking meeting, training. • Taking responsible for procedure of foreigners such as: passport, visa, work permit, air ticket, car, hotel, vacation etc. • Responsible for employee transportation and coordinating shutter bus with transport safety directives compliance. • Take care of Canteen operation ensure food quality, quantity and safety. Monitoring food vendor/canteen staff, advising HR manager on canteen policies and procedure. • Controlling employee uniform, stationery and offices equipment. • Monitoring and controlling expenses within the allotted budget. • Bidding, sourcing, analyzing, negotiating service as a buyer. • Taking charge of scheduling of vehicles (trucks, cranes, boom truck, manlift, etc.). • Logging of paint, scaffolding materials to ensure operation.
