 Ensures all telephone calls are handled in a polite, efficient manner and according to international brand standards.  Reports complaints or problems to Manager if no immediate solution can be found.  Ensures a sales attitude is adopted at all times and maintains an awareness of all sales opportunities within the hotel.  Ensures a high level of product knowledge of hotel and local area.  Ensures a high level of customer service is consistently maintained.  Operates switchboard consoles, paging system, and associated computer equipment in accordance with departmental procedures.  Ensures the Manager is kept fully aware of any relevant feedback from either customers or other departments.  To be knowledgeable and promotes/ upsell Rooms, Outlets and other facilities/ programmes whenever opportunities arises.  Promotes Gold Passport programme to potential guests whenever possible.  Complies with all systems and procedures as laid down by the Room Division.  Assists reservations as necessary.  Handles incoming and outgoing mail, and faxes in a timely manner.  Has a thorough understanding of all the services offered by the hotel.  Fully conversant in all aspects of the city in order that all guest’s queries can be handled efficiently and courteously.  Ensures that all reservations, orders, requests, etc. are accurately and quickly relayed to the concerned department  Having knowledge of entire Reservation Procedure according to International Hotel manual system.  Allocate daily tasks to Reservations staff .  Review reservation booked daily.  Review arrival report daily.  Responsible for preparation of occupancy forecast.  Responsible for training staff.  Responsible for implementation of policies and procedures.  Responsible for recording Company/Travel Agent Rates both in system and correspondence file.  Liase with Sales Department in regards to occupancy, Rates Reservation's Analysis.  Identify Top Producing Accounts ensure proper recognition by Reservation staff  Responsible for various Production reports and supply to each department concerned.  Monitoring Telephone Manner and general performance of reservations staff daily.  Ensure special handling of repeats guest and very VIP guest.  Review room blocking for Long Stay. Suites and special group request. Supervising of Group Reservations.  Maintain cordial relations with commercial clients.  Bring to the attention Front Office Manager when the hotel availability status be changed and prepare for necessary action.  Responsible for work schedule  Responsible for maintaining a Neat and Orderly position at all times.  In general, perform any other duties might requested by Front Office Manager or Room Division Manager.  Establish and maintain an accurate filling system  Co-odinate day to day operations with respected sales with respected job tasks  Assist in preparation of all proposals, contracts and related correspondence and other administration tasks relating to sales funtion  Assist in updating all database and sales system  Assist in the preparation and cordination of sales call, entertainment , sales trips and copletion of order forms for flower , cookies , wines, gretting cards as directed  Assist in preparing of sales kits , brochures , sales related collaterals and give-aways and gifts for sales persons  Assist in conduting site inspection for clients or meeting clients on behalf of sales person as directed or when they are not in the office.
