*** Main responsibilities -Determine guest needs and quote the appropriate room rate & services as per requirements based on standard guidelines via telephone, email. Ensure all requirements are answered within 24 hours including inquiries on OTAs' extranet. -Correctly Input booking information into the reservation system for leisure, corporate, group & wholesalers' guests. Record special billing arrangements for all reservations. -Process adjustments bookings: extend, shorten, cancel, etc. -Record special billing arrangements for all reservations. Ensure all prepayments reservations are settled before check-in (for those who have no AR number with the hotel). -Coordinate and communicate with all other departments to ensure a smooth operation. -Daily tasks to check yesterday's report to reconfirm clients' new reservations (via mail, call); daily no-show report, arrival list, daily pick-up/cancellation report. -Resolve complaints from customers concerning reservations and take immediate remedial action. -Weekly/monthly checking commissions for OTAs via CTAC/Onyx and handover to Revenue & Finance for payment processing. -Controlling and balancing inventory and extending/adjusting/creating/testing rate plans, rates' packages, etc. on PMS Opera to ensure all bookings run accurately. *** Administration & Coordination -File and organize departmental documents, maintain stationery and office supplies for the department. Report any equipment failures/problems & repair requests to Engineer Department. -Plan and administer duty roster on Cadena for the team, prepare monthly staff attendance reports for Payroll processing. -Confidentially perform duties and responsibilities when applicable. -Managing 03 Reservation agents in daily tasks, evaluating their performance to ensure all procedures are performed to the hotel's standards. -Conducting daily briefing, assisting Reservation Manager in coaching if necessary to meet needs. *** Other Responsibilities -Attend all department briefings, meetings, training. -Maintain a high standard of personal appearance and hygiene at all times. -Perform other reasonable duties assigned by the Management
