- Handle confirmed MICE and Catering bookings from sale team after contract signed. - Being a representative of Sheraton Saigon Hotel and to be main contact between organizer of MICE/Catering and hotel. - Get all information in details from MICE such as rooming list, flight details, special accommodation request, and event such as meeting room requirement, meeting amenities, setup style, layout requirement, AV system from hotel or supplier, F&B menus and special dietary of each guest if any. - Assist guest to arrange flight bookings, transportation to location require, make reservation of outside venue such as tourist destination, restaurant. - Dealing & sending quotation to guest for extra service outside of contract, fully have experience on up-selling skills. - Calculate and arrange proforma invoice of all service, send to organizer for acknowledge of budget. - Issue Group Instruction (GI) & Banquet Event Orders (BEO) and send to all EXCOM with related department. - Arrange internal group run down with EXCOM and related department to present and make sure all information is clear to well prepare for upcoming MICE group. - Arrange group run down with MICE organizer team, EXCOM and venue manager to recap or revise all information, billing arrangement before main group come. - Check GI of all the reservation, room requirement with duty manager, transportation (pickup & drop off) with concierge and all accommodation details of the group with FOM. - Arrange welcome upon arrival of MICE organizer, group VIPs (president, vice president...). - Follow up and check back all request from guest at GI & BEO with venue manager/assistant manager to make sure hotel deliver best service. - Receiving details report from each venue manager to fully control of guest feedback & hotel service at venue. - Personally handle & solve all the complaint from MICE / Catering, issue incident report with full details of complaint and result of solved. - Conciliatory if necessary between departments to make sure all guest requirement has been run through. - Issue and show group master bill with full details including extra service from upselling to organizer with finance team and group-coordinator. - Assist organizer to settle master bill at the end of event or through bank transfer base on contracted. - Further assist sales on-site inspections, lay-out requirements, setup requirements, advise further arrangements base on guest idea.
