* July 2017- September 2018: Assistant Event Planner Mananger – Pullman Vung Tau Hotel, Vung Tau city, Ba ria vung Tau province Job description: - Working closely with the Catering and MICE Sales, being the main client contact throughout any event, partnering with the client to ensure success and anticipating guest needs to create surprise and delight - Contacting the client’s event organizer to summarize all information about the upcoming event - Preparing BEO in Opera system and deliver to all related departments at least 02 days in advance, presenting all information of the groups events: check-in, meetings, lunches, dinners …. - Checking all preparation for the event from all departments: FO, Banquet, Kitchen, Engineering, … - On the date of event, being the coordinator between the client and the hotel’s departments, solving any problems or requests occurring - After event finishing, sending thank-you email/phone to the client and making notes of client’s comments - Being the catering sales: promoting for wedding and F&B service, sending proposal, following up contract, payment, liquidation contract… - Being MICE sales in charge of those accounts related to Government, People’s committee, Owner’s company - Taking site inspections upon request - Other office tasks during work * June 2016 – July 2017: Sales & Events Coordinator - Alma Oasis Long Hai, Long Dien, Ba Ria Vung Tau Job description: - Following up leads by finalizing details with clients and guests, make contracts and follow with function sheet. Issue Function sheet to all departments and have function meeting. - Conducting site inspection to guests and take their contact for following up their booking - Maintaining communication with the client & show ongoing interest in the operation to identify prospective clients' needs by questioning, observation - Liaising closely with all staff on details for a prospective sale &gain their agreement. - To constantly be aware of new business opportunities and action these. - Assisting in the day to day running of sales and public relations at resort level - Achieving and developing rapport with guests, companies and wedding planners through personal association and calling them on a planned and scheduled basis. Trace all group and event files relating to tour and travel in collaboration with events management team. Following-up and constant calling enable the Sales Manager to book the business. - Ensuring that function sheet of the groups are distributed to the proper departments and that pre- and postmeetings with the customer and staffs take place where appropriate in collaboration with the events management team. - Updating all sales project files for group and events management
